How KOPESS collects, uses, and protects your personal information.
Last updated: July 2026
1. Introduction
KOPESS (“the School”, “we”, “us”) operates this website to share information about our school and to receive admission applications and enquiries from students, parents, and guardians. We respect your privacy and are committed to protecting the personal information you share with us, in line with the Individual Privacy Act, 2075 (2018) of Nepal and its regulations.
This policy explains what information we collect through this website, why we collect it, how we keep it safe, and the choices you have. By using this website or submitting a form, you consent to the practices described here.
2. Information We Collect
We only collect personal information that you voluntarily provide to us:
- Admission applications — when you apply for admission online, we collect the details requested in the admission form, such as the student’s name, date of birth, gender, previous school, the grade applied for, and parent/guardian names, contact numbers, email address, and home address.
- Contact and enquiry forms — when you send us a message through the contact form, we collect your name, phone number, email address, and the content of your message.
We do not use third-party advertising, marketing, or analytics trackers on this website, and we do not collect personal information from visitors who simply browse the site.
3. How We Use Your Information
We use the information you provide only for the purpose for which you submitted it:
- To process and respond to admission applications, including contacting you about entrance assessments, interviews, and enrolment.
- To respond to enquiries, feedback, and complaints sent through the contact form.
- To maintain school records for enrolled students as required for our academic and administrative work.
- To comply with legal obligations under the laws of Nepal, including directions from education authorities.
We do not use your information for advertising, and we do not send promotional messages unrelated to your enquiry or application.
4. Sharing of Information
We do not sell, rent, or trade your personal information. We do not disclose it to third parties without your consent, except:
- When required by law, a court order, or a government authority with legal power to demand it.
- With trusted service providers that host our website and store our data securely on our behalf. These providers process data only as needed to run this website and are not permitted to use it for their own purposes.
5. Data Storage and Security
- All pages and forms on this website are served over an encrypted (HTTPS/SSL) connection.
- Form submissions and uploaded documents are stored in secured, access-controlled databases and storage systems.
- Only authorised school administrators can access submitted applications and messages, and admin access is protected by authentication.
- We keep admission and enquiry records only as long as needed for admission processing, student records, and legal requirements, after which they may be deleted.
While we take reasonable technical and organisational measures to protect your data, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
6. Cookies
The public pages of this website do not use advertising or tracking cookies. A secure authentication cookie is used only for school administrators who log in to the admin area; it is essential for that login to work and is not used to track visitors.
7. Third-Party Services
Our contact page includes an embedded Google Map to help you find the school. When the map loads, Google may collect technical information (such as your IP address) under its own privacy policy. Links to our social media pages (such as Facebook) lead to external platforms governed by their own policies. We encourage you to review those policies when you use these services.
8. Children’s Privacy
Admission forms are intended to be completed by parents or legal guardians. Information about students, including minors, is collected only with parental/guardian consent through those forms and is used strictly for admission and school administration. If you believe a child’s information was submitted to us without proper consent, please contact us and we will remove it.
9. Your Rights
Under the Individual Privacy Act, 2075 (2018), you have the right to:
- Ask what personal information we hold about you or your child.
- Request correction of inaccurate or incomplete information.
- Withdraw consent and request deletion of information, subject to record-keeping obligations that apply to enrolled students.
To exercise any of these rights, contact us using the details below. We will respond within a reasonable time.
10. Changes to This Policy
We may update this Privacy Policy from time to time. The latest version will always be published on this page with an updated date. Continued use of the website after changes means you accept the updated policy.
